Information we collect

Depending on how you use the website, we may collect:

• your name, telephone number, email address, preferred contact method and enquiry message;
• details of a Novix vehicle you are interested in, including viewing, test-drive, part-exchange or purchase enquiries;
• details of a vehicle you want to sell or part exchange, such as registration, mileage, condition, MOT information, outstanding-finance information and other condition details;
• vehicle photographs that you choose to upload;
• for a finance referral, the selected Novix vehicle, estimated deposit, preferred monthly budget, preferred contact method, message, your consent to the referral and the Novix finance reference assigned to the enquiry;
• marketing consent where you separately choose to receive Novix Motors stock or marketing updates; and
• limited technical information generated when the website is used, such as server/security logs, device or browser information and cookie information where applicable.

How we use your information

We use personal information to respond to enquiries, manage vehicle sales and customer contact, arrange viewings or test drives, process sell-your-car and part-exchange enquiries, provide estimated vehicle valuations, make finance referrals at your request, maintain enquiry and referral records, operate and secure the website, and meet legal or regulatory obligations.

Depending on the activity, our lawful basis may be taking steps at your request before entering into a contract, our legitimate interests in operating and administering the dealership and its customer enquiries, compliance with legal obligations, or your consent. Where we rely on consent, including optional marketing and the finance referral described below, you may withdraw that consent for future processing.

Vehicle lookups and estimated valuations

When you use a vehicle lookup or request an estimated valuation, vehicle information such as registration, mileage and condition may be sent to vehicle-data services used by Novix, including Auto Trader Connect and DVLA services, so that the vehicle can be identified and relevant vehicle or valuation information can be returned.

A valuation displayed by Novix is an estimate only. Any final offer may depend on vehicle condition, mileage, MOT status, outstanding finance, inspection and final checks.

Vehicle photographs

If you choose to upload photographs for a Sell Your Car or Part Exchange enquiry, they are used to help Novix review the vehicle and the enquiry. Uploaded enquiry photographs are scheduled for deletion after up to 90 days. You should avoid uploading photographs containing unnecessary personal information or location metadata.

Finance enquiries and Exclusive Car Finance

Novix Motors does not assess or approve the finance application through the Novix website. If you submit a finance enquiry and give the required consent, NOVIX CARS LTD shares the information needed for that referral with Exclusive Car Finance Limited so that they can contact you directly regarding a finance application.

The referral information may include your name, telephone number, email address, preferred contact method, the Novix vehicle you are considering, estimated deposit, preferred monthly budget and any message you submit. Novix also assigns a reference in the format NVX-FIN-… and retains that reference and referral status so the enquiry can be tracked and reconciled with the application outcome. If Exclusive Car Finance provides its own application reference, Novix may record that cross-reference against the Novix enquiry.

Exclusive Car Finance Limited states that it is authorised and regulated by the Financial Conduct Authority under FRN 1052463 and acts as a credit broker, not a lender. Any formal application, affordability assessment, credit search, lender introduction and related finance processing are handled by Exclusive Car Finance and/or the relevant finance provider under their own privacy information and terms.

Who we share information with

We do not sell personal information. We may share information where necessary with:

• Exclusive Car Finance Limited for a finance referral where you have given the required consent;
• vehicle lookup and valuation services used for the requested service, including Auto Trader Connect and DVLA services;
• website hosting, email, security, analytics, address-lookup and other technical service providers that support the Novix website and communications;
• professional advisers, insurers, payment or business service providers where reasonably necessary; and
• law-enforcement bodies, regulators, courts or other authorities where disclosure is required or permitted by law.

Marketing

Marketing consent on Novix website forms is optional. We will only use the details submitted through that option for Novix marketing where you have chosen to receive it. You may withdraw marketing consent or ask us to stop at any time by contacting info@novixcars.co.uk.

How long we keep information

We keep enquiry and referral records only for as long as reasonably necessary for customer service, dealership administration, referral tracking, legal, accounting, fraud-prevention or dispute purposes. Retention periods can vary depending on the nature and outcome of the enquiry. Vehicle photographs uploaded with enquiries are scheduled for deletion after up to 90 days.

Cookies and website technology

Security and service providers

We use reasonable technical and organisational measures designed to protect personal information.
